How I stay organized using my clipboard system
I’ve been using my clipboard system for a few years to organize temporary projects that need planning and organizing, but I didn’t want to dedicate a section of my main agenda to these temporary tasks.
I also have a lot of external documents to organize, so a clipboard is the perfect mechanism to keep everything in one place. Today I am using this system for work, personal and special projects.
My work clipboard holds guides, outlines, notes, and reference materials I may need to access when working on a project. For example, when I get a brief of what materials are needed for an upcoming campaign, I immediately print out the deliverables + deadlines so I have a guide to work from. I prefer to have a paper copy for myself so I can physically cross off items that have been completed, highlight dates, and circle or star important details. This way I always have my version (with notes and progress tracking) available at all times and I can avoid searching through old emails every time I need to access the brief. This comes in handy when balancing multiple clients and campaigns at once.
The top page is my inbox. Incoming tasks that need to be sorted or scheduled go in the “to sort” column, “outstanding” items are noted in the middle column, and my action items go in the “action required” column. I’ve paired my inbox with my Task System since I follow the same general schedule each week. Instead of writing down these repetitive tasks in my agenda every week, I can quickly plan and reference tasks at-a-glance and reuse them for the following week.
My personal clipboard holds appointments, social commitments, and important household documents. Housed at the entryway of our apartment for easy access, we clip on billing statements, upcoming events, invitations, cards, and reminders so we can both look at our shared calendar.
I use these undated Master Monthly Plan worksheets that I designed to prioritize my personal life; noting social plans, my self-care schedule, planning workouts, and marking important personal dates. But I’ve used these worksheets in SO many different ways.
They’re undated so you can print several per month and create targeted plans to help you achieve your goals. Use one for your health + fitness calendar to plan workouts, rest days, and meal plans. Use another to help grow your social media accounts by createing a content calendar, planning brand posts, and tracking metrics.

Finally, my third clipboard is used for special projects. Temporary projects usually don’t require a whole planner reset, but you still want a focused calendar view and a “home base” for storing notes, phone numbers and more. This system works great for your seasonal projects like spring cleaning, holiday shopping, home renovations, and summer vacation planning just to name a few.
As a co-habitating couple, my boyfriend and I have used our special projects clipboard for so many topics like apartment hunting, puppy adoption, and holiday planning! Keeping this in a neutral location allows all family members to find what they need and they can add to the clipboard or leave you a note during passing, i.e “complete apartment application when you get home”
Most recently, I’ve been using my project clipboard to create a color coding system in my agenda. I created a Color Swatch Key as a reference for my stickers, highlighters, and my journal pens. I also created a Color Swatch Palette to choose my favorite marker colors for my journal.
